Executive Secretary - Central Texas Conference Episcopal Office


The Episcopal Office for the Central Texas Conference of The United Methodist Church is searching for its next executive secretary. The Executive Secretary to the Episcopal Office supports the Bishop and Assistant to the Bishop by carrying out administrative, clerical, and organizational duties. Since the Secretary represents the Episcopal Office, professionalism is paramount.

The mission of the Central Texas Conference  is to energize and equip the local churches of the CTC so that they can more effectively make disciples of Jesus Christ for the transformation of the world. While this person's primary function will be to support the Bishop and Assistant to the Bishop, the Central Texas Conference Service Center team works as a cross-functional team, so this role is ideal for a goal oriented team player.

Essential Functions

  • Maintain the Bishop’s calendar of appointments
  • Receive and screen phone calls and redirect them when appropriate
  • Handle and prioritize all outgoing or incoming correspondence (blogs, e-mail, letters, packages etc.)
  • Receive, sort, and respond to mail addressed to the office manager & in relation to the Bishop’s schedule
  • Type dictation; send and file copies appropriately
  • Make event registration and travel arrangements for the Bishop and Assistant to the Bishop
  • Handle confidential documents ensuring they remain secure
  • Communicate with the Assistant to the Bishop and Dean of the Cabinet on appointment matters
  • Prepare follow up documentation related to appointments
  • Maintain clergy personnel files, program files, & boards/committees/agency files pertaining to the Bishop
  • Maintain complaint files and assist in complaint procedures
Other Responsibilities include:
  • Resource District Administrators and District Superintendents as needed
  • Review and submit bills/invoices for the Episcopal office and residence for payment
  • Prepare budget for Episcopal office and submit monthly expenses to GCFA
  • Resource Conference Connectional Table and Core Team (attend meetings and keep minutes)
